Claude for accounting: receivables, invoices and chasing

By The AR Agent team · · 5 min read

Claude can help a small finance team in two ways. On its own, it reads what you give it, such as an exported report or a customer's email, and drafts what you need back. With a connector, it can read from the software that holds your numbers, so you can ask questions about your real invoices without exporting anything.

This page is about receivables: the money customers owe you. It covers what works with no setup, what a connector adds, and the questions worth asking.

What can Claude do for accounting without a connector?

Quite a lot, as long as you bring the data.

Read an aged receivables report. Export it from QuickBooks or Xero, replace customer names with letters if your company rules require it, and upload it.

Here is my aged receivables report, with customer names replaced by letters.
List overdue balances over [Amount], oldest first, with days late.
Which customers have got later over the last three months?

Draft a reminder. Give it the invoice number, amount, due date and days late, and ask for a short, polite email that asks for a payment date. Our page on asking for payment politely has wording to compare against.

Make sense of a reply. Paste the customer's reply with names removed and ask whether it means paid, a dispute, a promise to pay, a request for something such as a PO, or a wrong contact, then ask for a response that fits.

Explain a term or a rule. Claude can explain the difference between a credit memo and a debit memo, or how an allowance for doubtful accounts works. For anything with tax or legal consequences, check with your accountant.

The limit is the same in every case: Claude does not know what changed since you exported the report, and it does not remember last week's conversation with a customer unless you paste it in again.

What does a connector add?

A connector links Claude to another service using MCP, an open standard for connecting assistants to software. Once you add one and sign in, Claude can call it while answering, so the figures come from the source rather than from a file you uploaded.

For accounting, there are two kinds. Developer servers wrap the QuickBooks or Xero API and give broad access, often including the ability to create invoices or record payments. Our page on QuickBooks MCP compares them. Connectors built for one job give narrower access chosen for that job.

The AR Agent connector is built for receivables. It reads from your AR Agent account, which is connected to QuickBooks or Xero and to your inbox, so its answers include what customers have said and promised, not only what the ledger shows.

How do you add The AR Agent to Claude?

  1. Set up an AR Agent account and connect your accounting system and inbox.
  2. In Claude, open Settings, then Connectors. Find The AR Agent, or add a custom connector with the address https://app.thearagent.com/mcp.
  3. Choose Connect, sign in to The AR Agent, and press Allow.

To disconnect, remove it from Claude's connector settings. Removing someone from your AR Agent team also ends their connection straight away. Full steps are on our support page.

What should you ask Claude about receivables?

  • "Who owes me money?" Overdue invoices with amount, currency and days late.
  • "Why hasn't [Customer] paid?" What was sent, what they last said, and anything blocking payment.
  • "Who has promised to pay this week?" Promised dates, and which were missed.
  • "Which customers need me to step in?" Cases flagged for a person, such as a dispute.
  • "Chase [Customer]." A follow-up drafted from the full history, waiting in the app for your approval.

Claude can combine these with its own work. Ask for the overdue list and then a one-paragraph summary for your Monday meeting, or for the three cases most worth a personal email from you.

Frequently asked questions

Is Claude good at accounting?

It is good at reading, explaining and drafting: summarizing a report, explaining a term, writing a reminder. It can make arithmetic mistakes on long calculations, so check any total it works out itself. Figures it reads through a connector are quoted from the source rather than calculated.

Can Claude connect to QuickBooks or Xero?

Yes, through a connector or MCP server. Some give broad access to the accounting system. The AR Agent connector reads your receivables through your AR Agent account and does not change anything in QuickBooks or Xero.

Is it safe to give Claude my financial data?

Check your company's rules and Anthropic's terms for your plan before uploading customer data. With a connector, read what it can do before you press Allow, and prefer one that cannot write to your books unless you need it to.

Can Claude send payment reminders for me?

Not on its own. It can draft them for you to send. The AR Agent connector can ask for a follow-up to be drafted, and it is sent only after someone approves it in the AR Agent app.

Does this work in ChatGPT too?

Yes. The AR Agent is also in the ChatGPT plugin directory, with the same questions and the same limits. See ChatGPT for invoices.

How The AR Agent handles this

The AR Agent chases overdue invoices for small businesses. It connects to QuickBooks or Xero and your inbox, follows up each overdue invoice by email, reads replies and tracks what customers promise. Its Claude connector lets you ask about that work in plain words: who owes you, why a customer has not paid, who promised to pay this week. Ask it to chase someone and the draft waits in the app for your approval. It cannot send email or change your books.
