AI collections agent for commercial plumbing

Get paid for the jobs billed on account.

Homeowners pay on the day. Property managers, restaurants and facilities teams pay on account, once they have the work order number, the signed ticket and the right inbox. We chase those invoices for you: The AR Agent fixes what is holding them up and asks you when a decision is needed.

Real plumbing problems

What we hear from plumbing companies.

The job was done the same day. The money takes another two months.

  • A tradesman in a cap leaning on his vehicle and smiling

    Owner

We fix the leak at 2am and wait 60 days to get paid.

“The emergency work gets done straight away. The invoice sits with a property manager who says it needs approving by someone else.”

  • A manager standing with his arms crossed in a workshop

    Service Manager

No work order number, no payment.

“The tech fixed it, but the ticket went in without the client’s work order number, so their AP sends it straight back.”

  • An office administrator with glasses working through paperwork at a laptop

    Office Manager / Bookkeeper

Every building has a different person who pays.

“The site manager signs the ticket, the management company pays, and the invoice has to go to an inbox nobody told us about.”

What commercial clients write back

The reply is where the money gets stuck.

A reminder gets an answer, and the answer needs doing something about. This is what the agent does with the ones plumbing companies get most.

  • Accounts payable, Maple Court Apartments

“We can’t pay this without the work order number.”

    What the agent does

    1. Asks your office for the number
    2. Adds it to the invoice in your books
    3. Re-sends it in the same thread
  • Facilities manager, Oakmont Medical Plaza

“This is over the not-to-exceed we approved.”

    What the agent does

    1. Stops chasing that invoice
    2. Asks you: send the approval for the extra work, or reduce it
    3. Writes the reply you choose, for you to approve
  • Property manager, Clearwater Property Management

“Send us the signed service ticket and we’ll release it.”

    What the agent does

    1. Asks your office for the signed ticket
    2. Sends it to the property manager
    3. Follows up until it’s paid
  • Owner, Riverside Bistro Group

“It’s going out in Friday’s payment run.”

    What the agent does

    1. Records the promise and the date
    2. Checks the books on Monday
    3. If it hasn’t landed, follows up in the same thread

Invented companies. Every email the agent writes waits for your approval unless you switch on Autopilot.

    You step in when needed

Disputes, jobs over the approved limit and anything that needs a decision come to you. Everything else it keeps following up.

Keep the field software you already use.

ServiceTitan, Housecall Pro and Jobber book the job, send reminders and take payment on site, then send the invoice to QuickBooks Online. That is where The AR Agent picks up whatever is still owed on account, and handles the replies a reminder can’t. Nothing to switch, nothing to re-enter.

FAQ

A few things you might want to know.

Will this work with QuickBooks?

Yes. The AR Agent connects to QuickBooks Online or Xero, and to your business email, and works the overdue invoices it finds there.

Jobber and ServiceTitan already send reminders. Why this?

Reminders work until the customer replies. Then somebody has to find the work order number, get the ticket signed or answer the question about the price. The AR Agent handles those replies and keeps following up until the invoice is paid.

Do I have to let it email customers automatically?

No. Every email waits for your approval until you choose to switch on Autopilot, customer by customer.

Does it chase homeowners?

It is built for customers who pay on account. Most homeowners pay on the day, so the invoices it works are the commercial ones that are still open a month later.
