Who this notice covers

The AR Agent (“we”, “us”, “our”) is responsible for the personal information collected through thearagent.com.

This notice covers this website and the trial request form on it. It does not cover information inside the product itself. When customers connect their accounting system or inbox to The AR Agent, separate wording will cover that, and we will publish it before connected customer accounts go live.

What we collect

Only what you type into the trial request form:

  • Your name
  • Your work email address
  • Your company name
  • Which accounting software you use
  • An optional message

We also record the date and time the form was submitted.

That is all the information we ask you to provide through the trial form. This website does not use cookies, analytics, advertising or tracking of any kind, and it does not load fonts, images or scripts from other companies, so browsing it does not report your visit to anyone else.

Like any website, our host receives the requests your browser makes, including your IP address, and keeps short-term server logs so the site can run and be protected from abuse.

Why we collect it

To reply to you about the free trial and to help you get set up. We do not use it for anything else, and we do not add you to a marketing list.

Our lawful basis

Where UK or EU data protection law applies, we rely on our legitimate interests: you asked us about a trial, and we need your details to reply. You can object to this processing or ask us to delete your information by contacting us.

Where it is stored, and who processes it

We use three service providers, and only for the purposes below:

  • Supabase hosts the PostgreSQL database where trial requests are stored, in its London region.
  • Resend sends us an email notification when a request comes in, so we see it without checking the database.
  • Vercel hosts the website. The code that handles the form runs in Vercel's London region.

Resend is based in the United States, so the contents of that notification email are processed outside the UK.

Who can see it

The people who run The AR Agent. Trial requests are shown on an admin page that requires a password to open, and our service providers can access the data only as needed to provide their service to us.

We do not sell your information, and we do not share it with anyone else for their own marketing.

How long we keep it

We keep inactive or unsuccessful trial requests for up to 12 months, after which we delete them unless we need to retain them for a legitimate legal or operational reason.

Your rights

Where UK or EU data protection law applies, you have the right to ask us for a copy of the personal information we hold about you, to have it corrected or deleted, and to object to or restrict how we use it.

To do any of that, email tom@thearagent.com and tell us the email address you used on the form, so we can find your request. We will respond within one month.

Complaints

If you are unhappy with how we have handled your information, please contact us first at tom@thearagent.com so we can try to put it right.

You can also complain to a data protection regulator. In the UK that is the Information Commissioner's Office (ico.org.uk). In the EU it is the supervisory authority for the country you live in.
