Real subcontractor problems

What we hear from subcontractors.

The work passed inspection. The invoice is still waiting.

  • A tradesman in a cap leaning on his vehicle and smiling

    Owner / Contractor

I’m on site all day. The invoices don’t chase themselves.

“By the time I get to the paperwork it’s 9pm, and the invoice I sent six weeks ago is still sitting with the GC.”

  • A manager standing with his arms crossed in a workshop

    Project Manager

The work is done. The sign-off isn’t.

“One missing inspection sheet or an unsigned change order and the whole invoice waits another month.”

  • An office administrator with glasses working through paperwork at a laptop

    Office Manager / Bookkeeper

Every GC wants it done differently.

“One needs the job number, one needs it in their portal, one needs it to a different person every month. I spend more time chasing than invoicing.”

What GCs and owners write back

The reply is where the money gets stuck.

A reminder gets an answer, and the answer needs doing something about. This is what the agent does with the ones subcontractors get most.

  • Project accountant, Halvorsen Builders

“We need the inspection sign-off before we can release this.”

    What the agent does

    1. Asks your office for the signed inspection
    2. Sends it to the project accountant
    3. Follows up until it’s released
  • Accounts payable, Westbrook School District

“Please resubmit with the PO and the job number.”

    What the agent does

    1. Asks your office for both
    2. Adds them to the invoice in your books
    3. Re-sends it in the same thread
  • Project manager, Ironwood General Contractors

“That change order was never approved.”

    What the agent does

    1. Stops chasing that invoice
    2. Asks you: send the signed change order, or credit it
    3. Writes the reply you choose, for you to approve
  • Owner’s rep, Crestline Properties

“It’s approved for the next pay cycle, on the 15th.”

    What the agent does

    1. Records the promise and the date
    2. Checks the books on the 15th
    3. If it hasn’t landed, follows up the next day, in the same thread

Invented companies. Every email the agent writes waits for your approval unless you switch on Autopilot.

A few things you might want to know.

Will this work with QuickBooks?

Yes. The AR Agent connects to QuickBooks Online or Xero, and to your business email, and works the overdue invoices it finds there.

Does it handle retainage and lien deadlines?

Not yet. It chases the invoices in your books and the replies to them. Keep tracking retainage and lien notices the way you do today.

Do I have to let it email customers automatically?

No. Every email waits for your approval until you choose to switch on Autopilot, customer by customer.

Some GCs want invoices in their portal. Does it upload them?

No. It emails, and it tells you when a reply says the invoice has to go through a portal, so someone can upload it.
